Terms and conditions - Overview
First we will review, in plain language, what we do at The Vacation Hunt, what we offer, and what we do not offer. The terms and conditions will be presented after.
Our general process is to first have a customer fill out a trip survey to collect passenger information, trip parameters (timing, length, departure point), and destination preferences. We will review the survey and ask you to either purchase a surprise vacation package or to place an order through our trip planning service.
Surprise Vacation Packages
After completing a trip survey, you will choose which surprise vacation package is right for you. We offer surprise vacation packages to both US and International destinations, with the price varying by trip length and number of travelers. After you have completed your purchase, we will book, on your behalf, airfare and a reservation in a hotel equal to the number of days indicated by your trip length selection. The location of the destination will be determined by us, but we will make every attempt to satisfy all the preferences you expressed in your trip survey, but we do not guarantee any specific destination preferences. We guarantee a reservation for a flight and a hotel, and a printed activity guide for the destination that includes dining and transportation tips.
Customers who select an “All-American Adventure” package will be sent to a destination in the United States. Customers who select an “International Intrigue” will be sent to a destination outside the United States. Selected destinations will have public transportation available, permitting the customer to navigate the city without the use of a personal vehicle. We will recommend activities and dining based on your preferences, and will provide a printed personalized guide of activities and information about the destination city.
Customer who select an "All-Inclusive Escape" package will be sent to a destination in the Caribbean, Mexico, or Latin America. We will book all-inclusive accommodations, meaning on-site food and drinks, including alcohol, will be included in the price of the package. We will also book shared round trip airport transfers at the surprise destination.
Please note: We will diligently research the resort and hotels, but we are not responsible for service, food, or transportation issues. Some resorts and hotels may charge an additional resort fee or local tax which must be paid onsite. Additional charges may apply for upgraded food and drink items (such as lobster or top-shelf liquor, minibar or room service).
What we send you:
- An order confirmation email upon initial order placement.
- A booking confirmation email, sent after completion of the airline ticket and lodging reservation
- An envelope in the mail, sent one week prior to departure, to the mailing address on record. This envelope contains your flight reservation information, hotel reservation information, and prepaid activity reservations, if applicable. It also contains your personalized activity, dining and transportation tips.
- An email sent 1-2 days prior to departure, containing electronic copies of the information contained in the envelope.
- If you choose to receive clues about where your destination could be, we will send you 2-3 clues, in various formats.
All our surprise vacation packages include:
- Travel reservations
- We book air travel for both domestic and international destination packages
- Accommodation reservations
- We book your accommodation for the number of nights indicated by your trip length.
- Activity, dining and transportation tips based on your survey responses
- Pre-planned activities
- We will try to include 2 pre-pIanned activities for you. The type of activity will depend on survey responses and activity availability at your surprise destination. These activities may be guided, self-guided, or an entrance to an attraction. In our all-inclusive packages, the pre-planned activities refer to the available activities and entertainment programs on-site.
All-Inclusive Packages also include:
- Food & drinks, including alcohol
- Shared airport transfers
Customers may also make specific requests in the survey under "Additional Information". We do not guarantee all requests will be fulfilled, but will attempt to meet all reasonable requests.
Our surprise vacation packages do not include:
Unless you have purchased an "All-Inclusive Escape" package, we do not include food or dining, or local transportation.
We also do not include the cost of a rental car or parking in any of our surprise vacation package prices.
Resort fees, and local taxes that must be paid onsite are not included in your payment to The Vacation Hunt. These fees & taxes vary by destination, number of travelers, and length of stay.
After filling out the trip survey, we will review your responses and ask you to place an order through our trip planning service page. The price of our trip planning service depends on the length of the trip, and does not include the cost of your travel. Our trip planning service includes researching your destination(s), planning logistics between destinations, making bookings for you, and providing recommendations for dining and activities.
Payments made on our website are made through the secure payment portal provided by PayPal. We use PayPal to process all payments, and PayPal guarantees that your payment information is safe and protected. The Vacation Hunt does not receive and cannot access your payment information through PayPal. For our surprise vacation packages, you will pay for your vacation immediately upon booking.
For our trip planning service, you will pay our trip planning fee, and we will send you a secure link to pay for the trip and/or a credit card authorization form for booking directly with travel suppliers. We do not keep your credit card authorization form longer than necessary to make your bookings. After bookings are complete, we will delete your credit card information. You also always have the option of making the bookings yourself, in which case, we would not receive or collect any of your credit card information.
Split payments: For surprise vacation packages, we allow travelers to place separate orders. It is the customer’s responsibility to inform us if you are travelling with another party booking separately so we can coordinate your trip; we are not responsible for errors resulting from a failure to inform us of the existence of the other party.
For vacations planned using our trip planning service, we can split the total trip cost into multiple payments. We request that you let us know in advance if you'd like us to do this. We cannot book all of your trip until full payment is received.

Terms and Conditions
The purchase of any travel services offered by The Vacation Hunt LLC (hereinafter "The Vacation Hunt") constitutes a contractual arrangement between The Client (all travelers on the trip, hereinafter as “client”) and The Vacation Hunt, and represents the client’s acceptance of The Vacation Hunt's terms and conditions set out herein. Please ensure that the client reads carefully and understands these terms and conditions prior to booking. Acceptance of these terms and conditions is a condition of booking and is the client’s acknowledgement that they have read, understood and agreed to be bound by them.
When the client books their trip, they accept the terms and conditions on behalf of the entire party. It is the client’s sole responsibility to ensure that all of the details on the confirmations are correct.
The Vacation Hunt selects a surprise destination based on the client's travel dates, departure airport and survey responses. By purchasing a surprise trip, the client agrees to these terms and conditions, and gives The Vacation Hunt permission to select the destination for the client’s trip. As such, The Vacation Hunt is not liable if the client does not like the trip destination, and The Vacation Hunt does not issue refunds based on this reason. The Vacation Hunt gathers trip preferences via a "trip survey". While The Vacation Hunt will attempt to satisfy the preferences expressed in the "trip survey", The Vacation Hunt guarantee any specific requests, including but not limited to destination location, trip length (except as defined by the package purchased), or flight time duration. The Vacation Hunt is not contractually bound by preferences expressed in the trip survey.
Changes and/or Cancellation
It is the client’s responsibility to ensure that all trip details, including passenger information, provided to The Vacation Hunt are complete and correct. All passenger details must exactly match the government issued identification (Passport, State ID, or Driver’s license, etc.) that will be used to board the aircraft. The client's reservations will be made under this name, and changes to passenger names are not allowed by many airlines. If the client needs to change a passenger name, The Vacation Hunt will attempt to make such a change, however, most airlines treat such a change as a cancellation, to which standard conditions, charges, and fees may apply. The Vacation Hunt will charge $250 change fee, in addition to the fees charged by the airline.
If the client needs to change or cancel any part of the trip, The Vacation Hunt will charge $250 in addition to the fees charged by airlines, hotels, and payment processors. This may be up to 100% of the client's total trip cost. If a client needs to make a change, it is the client’s responsibility to contact The Vacation Hunt as soon as possible to discuss options. The Vacation Hunt cannot guarantee a refund or re-booking.
If the client needs to cancel their trip, they must contact The Vacation Hunt immediately. The Vacation Hunt cannot provide 100% refunds, and charges a $250 cancellation fee (deducted from the original purchase cost). Cancelled bookings with airlines and hotels are subject to the vendor’s cancellation policies, and may be nonrefundable. Any cancellations made 7 days prior to departure or less will not be refunded. For vacations booked through our trip planning service, if the client needs to change or cancel their trip after bookings are complete, The Vacation Hunt will attempt to change or cancel the bookings and refund the client, less the fees imposed by the vendors and payment processors. The Vacation Hunt will not refund the trip planning fee.
If the client has purchased travel insurance, it is the client's responsibility to contact and file a claim with the insurance company or carrier. The Vacation Hunt does not file claims on the client's behalf.
The Vacation Hunt ensures that clients receive trip details with enough time to catch their flights. The client's failure to check in for their flight, either online or in person may result in the airline denying the client boarding or cancelling the client's ticket. The Vacation Hunt is not responsible for charges and fees resulting from client error resulting in missed travel.
The client is responsible for ensuring that all travelers meet foreign entry requirements and that your travel documents (passports), are in order and any other foreign entry requirements are met. Most foreign countries require that a passport to be valid for at least 6 months before expiration before permitting entry (your passport must not expire within the next 6 months to enter). The Vacation Hunt accepts no liability if you are refused entry onto a flight or into any country due to your failure to carry the correct and adequate passport.
By offering reservations for travel products to particular international destinations, The Vacation Hunt does not represent or warrant that travel to such points is without risk, and is not liable for damages, losses, injuries or illnesses that may result from travel to such destinations.
Reservation Information Delivery
The client will receive a boarding pass from the airline at check in, either at the airport or electronically via the airline’s online check-in. The Vacation Hunt provides the client their reservation and ticket information with enough time to complete check in. Please ensure that the mailing address and email provided at the time of purchase are correct, as this is how The Vacation Hunt will send reservation information. If the client has not received trip information prior to departure, contact The Vacation Hunt immediately. It is the client's responsibility to contact The Vacation Hunt if the client does not receive their trip information, The Vacation Hunt is not responsible if the client fails to notify The Vacation Hunt regarding missing trip details.
The Vacation Hunt sells products and services on behalf of airlines and other vendors. The Vacation Hunt will inform the client of the included baggage allowance for their flight, including size and weight restrictions. Typically, this is one carry on bag and one personal item on US domestic flights; additionally, international flights typically include one checked bag. We give and make no warranty or representation regarding the services or products supplied by the airlines or other vendors. Luggage and baggage policies vary from carrier to carrier. Should the client's baggage not comply with the airline’s restrictions, or if the client brings an extra bag, the client will incur all additional charges, for which The Vacation Hunt is not responsible.
Air Transportation Safety Compliance
Important airline ticket terms and conditions and other important notices apply to air transportation. Federal law forbids the carriage of hazardous materials aboard aircraft in luggage or on a person. A violation can result in five years' imprisonment and penalties of $250,000 or more (49 U.S.C. § 5124). Hazardous materials include (but are not limited to) explosives, compressed gases, flammable liquids and solids, oxidizers, poisons, corrosives and radioactive materials. Examples of things that fall into this category are paints, lighter fluid, fireworks, tear gases, oxygen bottles, and radio-pharmaceuticals. There are special exceptions for small quantities (up to 70 ounces total) of medicinal and toilet articles carried in luggage and certain smoking materials carried on a person. For further information contact the airlines or visit their website. Violation of these restrictions will result in imprisonment and financial penalties. The Vacation Hunt will not be held liable for transgressions against air transportation requirements. Please refer to www.tsa.gov/travel for further details on prohibited items.
Accommodations have certain rules the client must follow. If the client is charged extra or evicted from the premises for breaking the rules, The Vacation Hunt is not liable. The client’s payment through The Vacation Hunt covers the client’s reservation fees and taxes. All additional fees, including resort fees and those incurred through incidentals (room service, late checkout, etc.) are to be paid by the client. The client may be asked to provide a credit or debit card at the time of check in. The hotel, bed & breakfast, or other accommodation may reserve the right to charge the client’s credit or debit card for any damage incurred to the room or the accommodation during the client's stay, or for any items that are missing upon departure. Incidentals and rates will vary by accommodation.
Clients are required to comply with all rules and regulations of the booked accommodation. Failure to do so may result in fees or expulsion from the hotel, bed & breakfast or other accommodation. The Vacation Hunt will not be held liable for any additional fees or fines incurred, or legal proceedings between the client and accommodation should they arise.
Important Note – Conditions Beyond Our Control
Many situations present themselves beyond the control of The Vacation Hunt. If something goes seriously wrong, The Vacation Hunt can not promise any full refunds.
If there is an extreme weather situation, and the client cannot work it out with the airline, The Vacation Hunt will try to assist, but will not cover the additional expenses.
Compensation will not apply if a change is made for reasons beyond The Vacation Hunt's control. These include (but are not limited to): war, threat of war, riots, civil disturbances, terrorist activity, industrial disputes, natural and nuclear disasters, fire, epidemics, health risks, changes due to rescheduling or cancellation of flights by an airline or alteration of the airline or aircraft type; closed or congested airports or ports; hurricanes and other actual or potential severe weather conditions, act of government or public authorities or other circumstances. The Vacation Hunt can not and does not accept liability or responsibility for any airline or supplier bankruptcy or insolvency and the failure to provide any services that may follow.
The Vacation Hunt has taken all reasonable steps to ensure that proper arrangements have been made for the client's vacation. The Vacation Hunt acts as an agent for independent travel suppliers, such as airlines, hotels and other independent suppliers to provide the client with the services purchased. Services provided by airlines and by others at the client's destination are not the responsibility of The Vacation Hunt. The Vacation Hunt does not accept and expressly disclaims any liability for the actions or omissions of these independent suppliers.
The client understands and agrees that The Vacation Hunt is not liable for any loss, injury, expense or damage to persons or property resulting, directly or indirectly, from the acts or omissions of these independent travel suppliers, including but not limited to delays, over bookings, cancellation of services, cessation of operations, accidents, failures of equipment, or changes in fares, itineraries or schedules.
The Vacation Hunt cannot control and will not be responsible for bodily injury, property or other damage or loss caused by factors beyond our control, including but not limited to flight delays, airline turbulence, transportation accidents, war, terrorism, weather, quarantine, sickness, government restrictions, regulations or actions, mechanical breakdowns, fires, earthquakes, floods, climatic aberrations, acts of, civil unrest, strikes, riots, theft, disease or accidents, or failures related to the public internet, telecommunications lines or facilities, or third party technology systems, other unforeseen circumstances, or any other cause beyond The Vacation Hunt's control including physical, medical or mental disabilities, failure to obtain valid travel documents or failure to follow travel instructions. Under no circumstances shall The Vacation Hunt be liable for any special, incidental or consequential damages arising from the foregoing.
The Vacation Hunt and the airlines issue tickets and/or electronic documents covering transportation and hotel/accommodations. Neither The Vacation Hunt nor these suppliers, or their respective sub-agents, are liable for loss or damage to property or injury of person caused by reason of any act, omission, defect or negligence by any other hotel agency, transportation company or party providing such services or facilities.
All parties concerned are not liable for any claim arising out of or in connection with carriage or other services or features otherwise performed or occurring in connection with this package, except as provided in the conditions of carriage for the transportation company and the passenger tickets issued in conjunction with this package. The Vacation Hunt is not responsible under any circumstances for any injury or damages the client may suffer in connection with air, ground transportation or accommodations.
Payments, Refunds, and Risk
Please note that any confirmed booking is subject to credit card and PayPal approval for the transaction.
The Vacation Hunt does not guarantee refunds. Any request for a refund is subject to these terms and conditions, and will be considered on an individual basis. All refund requests must be submitted directly to The Vacation Hunt and will not be made for package features the client decides not to use. “No show” penalties could be up to to 100% of the package or component cost. Any complaint or claim involving the vacation services booked through The Vacation Hunt must be submitted to The Vacation Hunt within 7 days of trip completion to be considered. Refunds are not guaranteed.
Safety and Personal Risk
The Vacation Hunt is not responsible for injuries and damages that the client may incur during the course of their trip, including but not limited to: injury or theft during travel; forces of nature; political unrest; acts of lawlessness or terrorism; and accident or illness. By agreeing to participate in a trip booked through The Vacation Hunt the client agrees that they will not hold The Vacation Hunt responsible for any provision of medical care or the adequacy of any care rendered. The Vacation Hunt is not responsible for risks and dangers that may arise beyond our control. By agreeing to these terms and conditions, the client accepts these risks and dangers and agrees to The Vacation Hunt is not responsible or liable.
Any claim or controversy that arises out of or relates to this agreement or the alleged breach of it, and which cannot be settled by the parties will be settled by submission to a local chapter of the American Arbitration Association, or a similar body, for binding non-appealable arbitration in accordance with the current rules and procedures of such organization. The aggrieved party shall bring all grievance to arbitration in Arlington, Virginia, regardless of the residence or principal place of business of either party. In the event a lawsuit or arbitration proceeding is initiated by either party, the party against whom a judgment or award is entered will also be liable for costs of suit and reasonable attorneys’ fees for both parties as set by the court or arbitrator.
The unauthorized use of any images on www.thevacationhunt.com is forbidden, and may not be used by third parties without written consent. Failure to do so may result in legal action.
